JOA and COPAS templates¶
From earlier versions of this guide
This section was carried over from earlier versions of the user guide. Menu names and screens may differ in your version of Word or your form. If something does not match, contact High Tech Forms Support.
These instructions apply to the Microsoft Word versions of the JOA and COPAS templates.
First things first¶
Read Revision balloons. For macro settings, see Macro security.
Filling in blanks¶
Use the arrow keys and Page Up and Page Down to position the cursor inside a blank, then enter the appropriate text. You can also use the mouse to position the cursor on the blank lines.
Adding text¶
Position the text cursor where you want to insert text. Choose Insert Text from the High Tech Forms menu.
Adding multiple lines of text¶
Do not allow text to wrap from one line to the next, and do not use Enter to move to the next line.
If there are not enough blank lines for your text, put a note in Other Provisions and reference it at the insertion point.
If there is original text below where you are typing, enter one line of data, then press Down Arrow twice to position the cursor on the next numbered row. Continue entering the text.
If there is no original text below where you are typing, such as in the JOA Other Provisions section, type your paragraphs without special line spacing or arrow-key positioning.
Adding operators, non-operators, and acknowledgments¶
JOA 1982, JOA 1989, and JOA 1989H have sections at the end for operator and non-operator information and signatures. Add additional operator and non-operator blocks from the High Tech Forms menu.
To remove an added signature block, highlight it and choose Remove Revision from the High Tech Forms menu. In JOA 1989 and JOA 1989H, you can also use Delete Op/Non-Op Table.
In JOA 1989 and JOA 1989H, add individual and representative acknowledgment sections from the High Tech Forms menu. To remove an added acknowledgment section, highlight it and choose Remove Revision.
Checking boxes¶
Position the cursor next to the box, then choose Check-A-Box from the High Tech Forms menu to check or uncheck it.
Deleting text¶
Select the text and press Delete. Deleted words are marked with strikethrough. If you strike through text accidentally, choose Edit > Undo or press Ctrl+Z.
Removing revisions¶
To remove a strikethrough line or text entered by another author, highlight the text and choose Remove Revision from the High Tech Forms menu.
Replacing text¶
Strike through the text to be replaced, then insert the replacement text.
Accepting changes and the final document¶
Never accept revisions to the document. All original contract language must remain visible. Do not use Accept changes to create a final document. Accepting changes makes your revisions permanent and ruins the document’s editability.
Always view and edit the document in Final Showing Markup so you can see exactly what is in it and what other parties will see. Choosing Final only hides revisions; it does not remove them. Recipients can still view revisions that remain in the document, even if you have hidden them on your PC.
These documents print with revision markup displayed. Turn off revision balloons.
Adjusting page numbers¶
Page numbers are static so they match the printed originals. If you insert a page break, the next page will have the same number as the previous page. Adjust added pages so they are sequentially numbered. For example, added pages in Article XV. Other Provisions of JOA 1982 become 14a, 14b, 14c, and so on.
Position the cursor on the page whose number you want to modify. Choose Add ABC Page Numbers from the High Tech Forms menu.
If the page no longer needs ABC numbering, position the cursor on it and choose Remove ABC Numbers from the High Tech Forms menu.
Important notes¶
Multiple authors and editors¶
To modify another editor’s revisions, highlight the affected text and choose Remove Revision from the High Tech Forms menu. For example, use this command to remove text another editor added to the contract.
Section breaks and page numbers¶
Do not modify section breaks. They control the hard-coded page numbering. Changing them can break the numbering and require you to redo the entire agreement.
